How we use Microsoft 365 Copilot

We use Microsoft 365 Copilot to help our staff work more efficiently and to support accessibility needs.

Copilot is a type of artificial intelligence that can understand and generate text. We use it to summarise information (like emails, Teams chats, meeting transcripts and documents), prepare for meetings, create and format documents, analyse data such as consultation responses, and draft things like emails or presentations. It can also help with note taking and generating ideas to support clear communication and good decision making. All data used with Copilot stays within our secure UK based Microsoft 365 and Azure systems. It is not used to train AI models.

When we use an individual’s personal data with Copilot, we process it under the lawful basis of public task when it’s needed to carry out our legal duties. In other situations, we may rely on legitimate interest. You can find more detail in the relevant sections of this privacy notice.

We may collect audio, video and transcripts from Microsoft Teams meetings. These transcripts allow Copilot to provide some of the features described above.

Copilot does not make decisions about individuals. All AI generated content includes a notice that it may be incorrect, and our staff are trained to check and verify everything Copilot produces. We’ll continue to review how we use Copilot, including any risks and benefits. If our use of Copilot changes, we’ll update this privacy notice.
