6. Managing your student lists

If you click on ‘PA & AA students’ menu option, you will get extra left hand options.

Current students’ is always the first screen. On this screen you can see current PA or AA students and their details, you can also take the following actions: 

6.1 Finding a PA or AA on your list

You can find any PA or AA on any list view by using the search bars at the top of the table columns just under the headings. Type what you want to search in the search bar and press the magnifying glass icon next to it. This will bring your results back.

For example – typing in “Ch” will bring through any last name containing these letters. The more letters you enter, the shorter the list will become.

6.2 Export your list of students

You may wish to export your list of students to another system to check against your own data.

To do this:

  • find and click the ‘export list’ button
  • you'll then see the file appear at the bottom of your screen
  • click on the file and the excel sheet will open for you.

6.3 Changing a student’s name

Find the student by following the instructions in 6.1 Find a PA or AA on any of your lists above.

Click on the hyperlink of either first or last name.

You’ll be presented with the 'change student name’ screen.

  1. Confirm the student's name in the boxes making any required amendments to match the school and university records.
  2. Click ‘Submit’

You’ll be presented with a confirmation page.

When you return to the ‘Current students’ page, the PA/AA will have moved up or down the list according to their new date. The earliest dates are at the top.

6.4 Changing a student’s expected qualification year

Find the student by following the instructions in 6.1 Find a PA or AA on any of your lists above.

Click on the hyperlink under ‘Exp. Qual Year’ 

You’ll be presented with the 'change expected student qualification year’ screen. 

  • Select date in the ‘New expected qualification year’
  • Select a reason from the 'Change reason' field.         
  • Click ‘Submit

You’ll be presented with a confirmation page.

When you return to the ‘Current students’ page, the student will have moved up or down the list according to their new date. The earliest dates are at the top.

6.5 Changing a student’s expected qualification type

Find the student by following the instructions in 6.1 Find a PA or AA on any of your lists above.

  1. Scroll across 
  2. Click on the hyperlink on ‘Exp. Qualification’

You’ll be presented with the 'change student qualification’ screen:

  1. Select date in the ‘New expected qualification’*
  2. Select the ‘New expected qualification year’
  3. Click ‘Submit’

You’ll be presented with a confirmation page.

When you return to the ‘Current students’ page, the PA/AA may have moved up or down the list depending on whether you have entered a new expected qualification year. The earliest dates are at the top.

* If the expected qualifications shown are not correct contact your GMC Connect administrator by emailing PAAARegistration@gmc-uk.org 

6.6 Withdraw a student from your list (Remove a student from your list)

Find the student by following the instructions in 6.1 Find a PA or AA on any of your lists above.

Click on the ‘withdraw’ link in the withdraw from PA or AA in your list.

Choose a withdrawal reason from the drop down list (if you select ‘Other’ an ‘Additional information’ text box will appear for you to enter further information. Then click the ‘submit’ button.

You’ll get a confirmation that the PA/AA has been removed from your list. Click the ‘back’ button to return to your list of doctors.

6.7 See your list of withdrawn students

Click on ‘PA & AA Students’ then ‘Withdrawn Students’. 

You’ll see a screen that shows you a list of students you’ve withdrawn and the reason for each withdrawal (scroll across to the right):

6.8 GMC statuses

You will see a ‘GMC status’ next to each student in the current students view. These should show as ‘new’ or ‘account created’ meaning that you have sent us their data and we wait for award confirmation before we invite them to apply for registration.

If you have submitted a qualification award, you can see your students GMC application status on the ‘Qualified students’. This will display a ‘registration status’ as seen below:
