1 Introduction

Welcome to the GMC Connect user guide for Royal Colleges and Faculties.

GMC Connect is our system for managing the secure transfer of data, both into and out of the GMC.

There are many occasions where it’s necessary for us (the GMC) to share digital information with the various types of organisations and individuals that we work with. Royal Colleges and Faculties are one group we need to do this with and GMC Connect allows us to share our information securely.

This guide takes you through the main steps of using GMC Connect to manage your list of doctors and make notifications and recommendations for Certificates of Completion of Training (CCTs).

2 Accessing GMC Connect

4 Document Folders

4.1 About Document Folders

Document Folders are one of the document sharing areas of GMC Connect. For the CCT process, we use this area to share documents for the CCT QA and appeals evidence bundles.

5 Guidance and Forms

5.1 Guidance & Forms

The Guidance and Forms area is where information and document templates useful to GMC Connect users are published.

To access the Guidance and Forms area, click on the Guidance and Forms menu item.

On the initial Guidance and Forms page is a list of folders. Clicking on a folder will take you to a list of documents within that folder.

5.2 Documents

Click on the View Documents link to open the folder.

You are now presented with the document list for the folder you clicked into.

You can see all the files held in the folder, along with their description and the date that they were uploaded.

To download a file, click on the document name.

As the Guidance and Forms section is intended for the distribution of GMC literature and document templates, GMC Connect users are not able to upload documents into these folders.

6 CCT Notifications/Recommendations

This section is for users who submit notifications to the GMC to let us know that doctors are due to complete CCT training, and recommendations confirming that doctors have completed the programme.

6.1 Notifications and Recommendations

If you click on the CCT Notifications/Recommendations menu option you will get extra left hand options.

Notifications (this is always the first screen you see when you click ‘CCT Notifications/Recommendations’) - From this screen you can:

  • Add a new CCT notification
  • Edit the projected date for a CCT notification
  • Submit a CCT recommendation
  • View All Notifications data

Recommendations – From this screen you can:

  • View the submitted recommendations
  • View all the submitted recommendations data

6.2 The Notification list

The Notification list contains all the doctors who a notification has been submitted for. A notification invites the doctor to apply for their CCT application. The doctor will confirm in their application if their specialty details are correct.

  • Not all specialty details are displayed in the Notifications list. The column headings confirm the information shown for each doctor.
  • Click the All Notification Data button to see all of the doctors’ details (opens in a new window).
  • Search for the doctor in the list – If you are unsure of how to search follow the guidance:

o Go to: Find a doctor on any of your lists

7 Find a doctor on any of your lists

7.1 Searching

You can find any doctor on any list by entering the doctor’s details into the filter of the relevant column. Please note, the filter is case sensitive.

8 Adding a new Notification

8.1 Adding a Notification

8.2 Notification – Searching for a doctor

a) Type in the GMC reference number of the doctor you want to add.
b) Click the Search button.

8.3 Adding a doctor’s notification details

Check the doctor’s details at the top of the screen to confirm that you are adding the Notification to the correct doctor. If the incorrect doctor is being displayed, click the Cancel.

a) Select the specialty details from the drop down list
b) Enter the Projected CCT date
c) Select the Certificate Type from the drop down list – If an incorrect certificate type is selected this cannot be amended through GMC Connect.*
d) Before you click the Save button, check you have selected the correct information. Once a notification is saved an email is sent directly to the doctor inviting them to apply for their CCT application.

o Then click the Save button.

8.4 Confirmed notification screen

You’ll get a confirmation that you’ve added the notification for the doctor.

  • Click the Add Notification to add another Notification for a different doctor.

  • Click the Notifications list to take you back to your list of doctors.

9 Notifications list

9.1 Notifications list

The notifications list includes all the doctors who have had a CCT notification or CP notification submitted.

Once a notification is submitted an email is sent directly to the doctor inviting them to apply for their CCT application.

  • Search for the doctor in the list – If you are unsure of how to search follow the guidance:

o Go to: Find a doctor on any of your lists

10 Change a projected CCT Date

10.1 Search for a doctor

Search for the doctor in the Notifications list – If you are unsure of how to search, follow the guidance:

o Go to: Find a doctor on any of your lists

10.2 Editing projected CCT Date

Under the column Change the project CCT Date for the highlighted doctor, click Edit.

10.3 Entering the new Projected CCT Date

a) Check the doctor’s details at the top of the screen to confirm that you are editing the correct doctor. If the incorrect doctor is being displayed, click the Cancel.
b) Enter the new Projected CCT Date in the box.
c) Before clicking the Save button, check that the information is correct for that doctor.

o Click the Save button.

10.4 Confirmed change of date screen

You’ll get a confirmation that you’ve changed the Projected CCT Date for the doctor.

  • Click the Notifications list to take you back to your list of doctors.

11 Submitting a Recommendation

11.1 Searching for a doctor

Search for the doctor in the Notifications list – If you are unsure of how to search follow the guidance.

o Go to: Find a doctor on any of your lists

11.2 How to submit a recommendation

Under the column Submit Recommendation for the highlighted doctor, click Submit.

11.3 Checking a Recommendation

To confirm that you are submitting the Recommendation for the correct doctor, check all of the doctor’s information in the table.

  • If the doctor and all information is correct go on to: Submitting a Recommendation
  • If the incorrect doctor is displayed, click the Cancel.
  • If any of the following information is incorrect:

o Project CCT date go to: Submitting a Recommendation
o Specialty go to: Amend Recommendation Specialty
o Project CCT date and Specialty go to: Amend Recommendation Specialty
o Certificate Type go to: Notification or Recommendation has been submitted incorrectly

11.4 Submitting a Recommendation

a) Check the correct information is displayed for the doctor. Once a recommendation is submitted, the doctor’s application may be granted immediately.
b) Enter the Actual CCT date – This may differ from the Projected CCT Date as the CCT date may have been recalculated.
c) Before clicking the Submit Recommendation button, check that the information is correct for that doctor. You will need to tick the box to confirm that you have completed this check.
d) Click the Submit Recommendation button.

11.5 Amend recommendation specialty button

  • If the specialty information is incorrect, click on the link Amend specialty for Recommendation.

11.6 Amending a recommendation specialty information

a) Check the correct information is displayed for the doctor. Once a recommendation is submitted, the doctor’s application may be granted immediately.*
b) Correct the specialty information in the drop down lists
c) Enter the Actual CCT Date – This is may differ from the Project CCT Date as the CCT date may have been recalculated.
d) Before clicking the Submit Recommendation button, check that the information is correct for that doctor. You will need to tick the box to confirm that you have completed this check.
e) Click the Submit Recommendation button

11.7 Confirmed Recommendation screen

You’ll get a confirmation that you’ve submitted a recommendation for the doctor.

  • Click the Notifications list to take you back to your list of doctors.

12 Submitted Recommendations list

12.1 Recommendation List

The Recommendation list contains all the doctors who a notification and recommendation has been submitted for. A recommendation confirms the completion of a doctors’ specialty training programme.

  • Not all specialty details are displayed in the Recommendations list. The column headings confirm the information shown for each doctor.
  • Click the All Recommendation Data button to see all of the doctors’ details (opens in a new window).
  • Search for the doctor in the list – If you are unsure of how to search follow the guidance:

o Go to: Find a doctor on any of your lists

  • For definitions of the column headings, go to the Glossary.

12.2 View All Recommendation Data button

This list includes all of the doctors’ recommendation information in full. This screen also includes the notification information. To view the column headings use the scroll bars, or to view the table better click on the table pop out button.

13 Granting Applications

13.1 What is needed to grant an application

There are three elements needed to grant Specialist or GP Registration for a doctor:

  1. A notification – To invite the doctor to apply.
  2. An application – To enable the doctor to confirm their Specialty information.
  3. A recommendation – To confirm the doctor has completed their approved specialty training programme.

13.2 Time frame for submitting an application

  • A notification can be entered up to 4 months in advance of the CCT date, giving the doctor the opportunity to apply before their CCT date.
  • A doctor will have a maximum of 12 months after their CCT date to apply. If they do not apply within 12 months of their date, they will no longer be eligible for a CCT.

13.3 Time frame for granting an application

Before CCT date

  • If an application and recommendation are received before the CCT date, the doctor’s Specialist or GP Registration will grant up to 10 calendar days before their CCT date.

o The doctor will appear on the Specialist or GP Register from their CCT date.

After CCT date

  • If the application or recommendation is received after their CCT date, the doctor’s Specialist or GP Registration will grant on the date it is processed.

o The doctor will appear on the Specialist or GP Register on the date their application was granted.

14 Notification or Recommendation has been submitted incorrectly

14.1 Reasons for incorrect notifications

This section explains when a notification should be removed. A notification cannot be removed through GMC Connect.

  • Projected CCT date: If this needs changing this can be updated in GMC Connect:

o Go to: Change a Projected CCT date

  • Specialty: If this needs changing, it can be amended when the recommendation is submitted. Do not submit the recommendation before you are ready to confirm that the doctor has completed their approved training.
  • There are two main reasons for requesting a notification to be removed:

o The notification was entered with an incorrect Certificate type.

Or

o The notification was entered for the incorrect doctor.

14.2 Removing incorrect notifications – Contact us

This section gives instructions for removing a notification by contacting the GMC. To remove a notification:

  • Email us: CCT@gmc-uk.org
  • Include the reason why the notification needs to be expired.
  • The doctor’s information:

o GMC number
o Full name
o Specialty information
o Project CCT Date

  • The Specialist Applications Team will expire the notification and email to confirm. This will remove the notification from GMC Connect.

14.3 Reasons for incorrect recommendations

This section explains when a recommendation should be removed. A recommendation cannot be removed through GMC Connect.

  • The doctor’s specialty information and CCT date can be amended at the point of submission for the recommendation. Do not submit the recommendation before you are ready to confirm that the doctor has completed their approved training. After a recommendation has been submitted it cannot be changed in GMC Connect.

o Go to: Amending a recommendation specialty information

  • If any of the information in the recommendation is incorrect a recommendation can be removed:

o Go to: Removing incorrect recommendations – Contact us

14.4 Removing incorrect recommendations – Contact us

This section gives instructions for removing a recommendation by contacting the GMC. To remove a recommendation:

  • Call the team: 0161 923 6002 or your main point of contact in the Specialist Applications Team.
  • Tell us the reason why the recommendation needs to be expired.
  • The doctor’s information:

    o GMC number
    o Full name
    o Specialty information
    o Actual CCT Date

  • The Specialist Applications Team will expire the recommendation and email to confirm. This will remove the recommendation from GMC Connect.

Specialty and Sub specialty

Status

Actual CCT date: The actual date the doctor completed their approved training programme for CCT or CP. This is submitted in the Recommendation.

CCT date: The date the doctor completed their approved training programme.

Certificate of Completion of Training CCT: Confirms satisfactory completion of an approved programme of training in the UK. Trainees who achieved all programme competencies in approved posts can apply for a CCT.

Certificate type: The route to Specialist or GP Registration, the doctor is eligible either through CCT or CP.

Combined Programme CP: The doctor will not have completed all of the required competencies within the approved training programme. The doctor’s previous qualifications or experience have been recognised upon entry to the approved training programme and they have then gone on to gain the remaining competencies within approved training.

Notification: A notification invites the doctor to apply for Specialist or GP Registration in advance of their Projected CCT date.

Notification date: The date the notification information was entered.

Notification list: A list of doctors who have had notifications entered for CCT or CP.

Notification source: This is a column in the All Notification Data screen and confirms how the notification was submitted via:

  • GMC Connect - This notification has been entered by a Royal College.
  • CCT Manual – This notification has been entered by a GMC SAT Adviser.
  • Blank – This notification was submitted through the previous process via a spreadsheet.

Projected CCT Date: The projected date is the estimated date by which the will doctor complete their approved training programme. This is entered in the Notification.

Recommendation: A recommendation confirms the doctor specialty information and Actual CCT date to enable their Specialist or GP Registration to be awarded.

Recommendation date:> The date the recommendation information was submitted.

Recommendation list: A list of doctors who have had recommendations submitted for CCT or CP.

Recommendation Source: This column in the All Recommendation Data screen and confirms how the recommendation was submitted via:

  • GMC Connect - This recommendation has been entered by a Royal College.
  • CCT Manual – This recommendation has been entered by a GMC SAT Adviser.
  • Blank – This recommendation was submitted through the previous process via a spreadsheet.

Specialty and Sub specialty: The full list of approved specialties and sub specialties combinations can be viewed on the GMC’s website on our approved list of curricula.

Status: This refers to the status of the doctor’s application:

  • Invitation email issued – The doctor has been sent an email inviting them to apply.
  • Invitation letter issued – The doctor has been sent a letter inviting them to apply.
  • Invitation error – The doctor has no email address on record. The SAT team will send a letter inviting the doctor to apply.
  • Application submitted – The doctor has submitted their application to the GMC.
