Using GMC Connect to manage your trainee information
Deaneries need to carry out the following tasks using GMC Connect during the survey:
1) Review trainee data change requests as they come in and approve where appropriate
Deaneries are responsible for ensuring their trainees’ training information is accurate.
We do not need to approve your decisions; your decision will go immediately back to the trainee. Data change requests from trainees will fall into two categories, depending on which data variable(s) they have requested to change:
- Priority 1 (changes to Deanery, 1st Programme and Training Level) – change requests that must be resolved before the trainee can continue with the survey, as they concern variables that affect the questions that will be presented to the doctor.
- Priority 2 (all other values) – change requests that must be resolved before the survey closes, but do not prevent the trainee from continuing with the survey.
2) Exclude trainees
You can exclude records at any time, not just in response to a trainee request but you must provide a valid exclusion reason.
3) Add trainees who were not in your original data submission
Additional trainees can be uploaded to your list of trainees in GMC Connect.You will need to check new records in the validation tool we have provided to make sure they will upload.
Other functions available in GMC Connect
You can also:
- Update records that have been loaded, provided the trainee has not started the survey.
- View a list of non-completers in your deanery. This information can be used for targeting reminders to doctors.
- View response rates for your deanery.
- Download all trainee data – this will include location details, survey status, programme and validation status for all doctors in your deanery (you’ll be able to paste this into Excel).
Managing invites and reminders
Again, as we did in 2012 we will work with each deanery to set individual reminder schedules.
We can send invites and reminders to email addresses and mobile numbers that we hold in our records. Deaneries can send their own reminders to the email addresses and mobile numbers that they hold.
Please remember that it is not necessary for a trainee to receive an invitation to complete the survey. They do not need an access code. They simply need to log in to GMC Online.
